POSITION OVERVIEW:
We are seeking a friendly, enthusiastic, professional and organized Receptionist to join our high-performing and driven Advancement team which is responsible for executing the school’s enrollment, marketing, and communication strategies at both AISJ campuses (Pretoria and Johannesburg). The Receptionist will provide administrative support and exceptional customer service to internal and external stakeholders, building relationships, and contributing to the school experience. The Receptionist is the first point of contact for the school, responsible for the warm and professional welcome of all arrivals including, but not limited to visitors, parents, employees, service providers, employees, contractors, and suppliers. The receptionist plays a key role in assisting walk-ins, scheduling appointments, managing the switchboard, answering and directing calls appropriately, forwarding accurate messages, responding to email inquiries in a timely and cordial manner, helping stakeholders with questions and issues and assisting with events on an ad hoc basis.
It is essential that the Receptionist be energetic, positive, confident, and polite. The Receptionist must also be well organized, able to multi-task and work independently, always representing AISJ in an exceptionally professional manner. You may also be called upon to support other departments and the Director’s Office with Advancement activities as needed.
QUALIFICATIONS AND EXPERIENCE
- Matric or Grade 12
- Secretarial or Office Admin Diploma
- Excellent Computer Skills, MS package and/or Google Suite, and databases
- A minimum of 2 years’ experience in a customer-facing Receptionist or similar position
- Experience working in a school or academic institution in a people-facing or sales role
- Exposure in international organisations and dealing with multiple nationalities

DUTIES AND RESPONSIBILITIES:
- Fulfil duties of School Receptionist for the Johannesburg Campus representing AISJ and upholding our excellent reputation
- Maintain a clean, tidy, and professional environment in the reception area commensurate with AISJ’s high standards and to give a positive first impression
- Provide exceptional customer service
- Answer and transfer phone calls in a polite and professional manner
- Forward accurate and timely phone messages to the appropriate person
- Respond to emails in a professional, timely and appropriate manner
- Welcome and guide visitors and stakeholders in a warm, friendly and polite manner
- Punctually open and close the front desk and reception area on a daily basis
- Send and follow up on maintenance requests related to photocopier, printer, lights, doors and other resources
- Ensure that the printer and water dispensers are stocked
- Liaise with Security, Maintenance, Tech, Soft Services and other departments as needed
- Maintain effective and supportive working relationships with other members of staff including administrative colleagues at the Pretoria Campus
- Interact with visitors to guide to them to the most appropriate person so that their school-related questions may be answered
- Direct students to the other departments as per their request
- Be aware of and comply with all school policies and procedures
- Maintain an awareness and understanding of all relevant school events and information in order to be able to provide assistance and answers to queries received
- Exhibit good decision making and problem-solving capabilities
- Demonstrate flexibility and support as a team member
- Provide visitors with refreshments
- Arrange coverage for the switchboard as required
- Sort and distribute packages delivered and mail from the Post Office, arrange for deliveries to the Pretoria Campus as needed
- Support Advancement team with scheduling, administrative requests, and events as needed
- Support the Advancement team with study visa letters and the study visa tracking database, and follow up where necessary
- Support the Advancement team with invoice uploading and follow up on 4-Flow processing
- Support the Advancement team with ad-hoc projects/research and other duties as assigned by the Advancement Director
- Support Director’s Office and other departments as needed.
Working hours: This is a 45-hour per-week position and may be required to work longer hours from time.
