Job Description

Main Purpose: To ensure that the implementation and processing of acting allowances pertaining to the Boilerserve contract are accurately captured on HRP and booked on Navision.

Key Performance Areas:

  • Liaison between sites/labour and HR office.
  • Reverse and rebook incorrect hours if necessary.
  • Update devices information in ERS.
  • Prepare devices for site collection and monitoring devices on site.
  • Track device’s location.
  • Manage access to devices.
  • Respond and follow up with device queries.
  • Pull accounting ledger’s report to identify overbooked normal hours entries, incorrect VIP codes, duplicated hours, allowances and leave booked on the same dates.
  • Compile and submit Exemption report – weekly and monthly.
  • Update Core Crew list monthly.
  • Pull clocking’s report to identify employees who are no longer clocking.
  • Create employees and Demobs.
  • Error report for labour brokers – identify employees who were captured with incorrect information such as addresses, gender, cost centre and duplicated employees.
  • Creating new positions and Calc code.
  • Pull employees disciplinary record on the system.
  • Assist with general letters, contracts, one pager and offers.
  • Issue clock numbers and onboard new employees.
  • Compile and submit salary file monthly within specified timelines.
  • Calculate overtime.
  • Upload/archive acting documents on share drive.
  • Assist with acting queries.
  • Provide accurate and detailed acting to administrators for wage/salary file submission.
  • Provide accurate and detailed acting report to labour for invoicing.
  • Assist month end with overbookings and errors.
  • Relief take-on-clerk /payroll administrator as and when necessary.
  • Ad hoc projects as and when they arise.
  • Any other job-related duties as required from time to time.

Preferred Requirements:

  • Grade 12/N3.
  • 2 Years’ experience in an administrative environment.
  • Computer literate (MS Office) and HRP.
