Job Description

Motus Commercial (Dealer Name) currently holds a permanent vacancy for a Receptionist.

This position provides first line communication, monitors all incoming calls and ensures all customers receive a pleasant and courteous welcome. The candidate will also be exposed to cashier and bookings role making the vacancy to be multifunctional.

Reporting to the Finance/ Admin Manager, the Receptionist is responsible for providing first line communication.

  • Ensure messages are correct and conveyed timeously
  • Update and distribute telephone lists to all Staff at Dealership
  • Communicate with all Staff
  • Control, monitor and record outgoing trunk calls and incoming reverse charge calls
  • Ensure Customers are directed to the employee to be visited / contacted
  • Ensure Customer’s comfort whilst in waiting period
  • Ensure all calls are answered promptly and pleasantly
  • Ensure cleanliness of reception area
  • Limit “hang-on” calls by offering call backs
  • Ensure paging system is on first call back after no reply
  • Answering incoming calls and emails from clients regarding booking inquiries
  • Processing booking requests and entering them into the system accurately
  • Communicating with clients to confirm bookings and provide necessary information
  • Coordinating with other departments to ensure that all bookings are properly managed
  • Updating and maintaining booking records and databases
  • Generating reports and analyzing booking trends to identify opportunities for improvement
  • Assisting in resolving any booking-related issues or complaints
  • Greet customers as they enter the store and assist them with their purchases
  • Scan items and process payments using cash registers and POS systems
  • Maintain a clean and organized work station
  • Answer customer questions and provide information about products and services
  • Handle returns and exchanges in accordance with company policies
  • Balance cash registers at the end of each shift and ensure accuracy in transactions
  • Upsell and promote special deals or products to customers
  • Collaborate with other team members to ensure smooth operations of the store
  • Follow all company policies and procedures regarding cash handling and customer service KNOWLEDGE, SKILLS AND QUALIFICATIONS:
    • Matric/Senior Certificate or equivalent (NQF4)
    • A minimum of 3 years’ receptionist experience is essential with bookings and cashier exposure
    • Excellent math and cash handling abilities
    • A Receptionist certificate will be an added advantage
    • Motor industry experience will be an added advantage
    • Must have excellent verbal communication skill
    • Strong attention to detail and accuracy in data entry
    • Proficiency in Microsoft Office Suite and booking software
    • Ability to work in a fast-paced and dynamic environment
