Minimum Requirements
Certificate in Business Administration (Essential/Minimum)
Diploma in Office Administration (Essential/Minimum)
Bachelor’s Degree in a relevant field (Recommended/Desirable)
Minimum of 3 years proven experience in managing administrative, coordination, research, and analysis aspects within a corporate setting
Proficiency in using communication and collaboration tools, including MS Office Suite, document management systems, and databases
Strong interpersonal skills with the ability to foster effective communication and collaboration within the team and across departments
Demonstrated ability to manage multiple projects, prioritise tasks efficiently, and work both independently and as part of a team
Experience in budget monitoring, including tracking expenses, processing invoices, and budget reporting
Compliance knowledge related to labour laws, health and safety regulations, data protection laws, and internal company policies

Duties & Responsibilities
Oversee the daily operations of the office, ensuring efficient workflow and effective communication both internally and externally.
Coordinate and manage schedules, meetings, workshops, and events, including preparation of agendas, meeting minutes, and follow-up on action points.
Provide comprehensive administrative and logistical support to the line manager and the team, ensuring preparedness for daily activities and strategic initiatives.
Monitor and assist in managing the team’s budget by tracking expenses, processing invoices, and maintaining accurate financial records for reporting purposes.
Serve as a central point of contact for internal and external stakeholders, fostering positive relationships and facilitating collaboration across departments.
Maintain and organise essential documents, presentations, and reports with stringent version control and confidentiality measures in place.
Plan and coordinate travel arrangements, including flights, accommodation, transportation, and required documentation, while accompanying managers when necessary.
Manage office facilities, supplies, mail, and equipment to ensure a clean, well-stocked, and productive work environment.
Ensure compliance with relevant company policies, statutory laws, including labour, health and safety, and data protection regulations.
Support the implementation and change management of new information management systems and processes within the team.
