Job Description
Brief description
The main purpose of this position is to provide personal administrative support and assistance to the Head of Department and other business units within the Group Security Management Department (GSMD) of the South African Reserve Bank (SARB).
Detailed description
The successful candidate will be responsible for the following key performance areas:
- Manage and coordinate administrative activities within the office of the Head of Department (HoD), including managing the diary of the HoD and making logistical arrangements for appointments and travel in liaison with relevant stakeholders.
- Provide administrative and coordination support for effective monitoring, measurement and reporting on the departmental strategic initiatives.
- Maintain and organise correspondence, submissions and other records.
- Draft routine correspondence.
- Assist with security-related research and document retrieval.
- Monitor and track progress on deadlines, follow up on action items, and support the HoD in prioritising strategic initiatives.
- Serve as the first point of contact for internal and external stakeholders for the HoD, maintaining professional and diplomatic communication.
- Assist with security-related research, document compilation, document retrieval and project coordination.
- Coordinate committee submissions and briefings in line with applicable protocols.
- Ensure data integrity and assist with reporting and analytics.
- Document and standardise departmental processes and procedures.
- Prepare and edit correspondence, reports, communications, presentations and other documents, conducting basic research and analysis where necessary.
- Provide administrative and coordination support for projects or initiatives for the department within the required governance processes.
- Oversee the implementation of corrective actions and proactively action improvements.
- Implement approved improvements to methods, practices, procedures and processes.
- Coordinate documentation and deliverables, and ensure that reports are produced, approved and maintained in a timely manner.
- Take responsibility for records and document management within the office of the HoD.
Qualifications
To be considered for this position, candidates must have:
- a minimum of a NQF5 qualification in Office or Business Administration, or an equivalent qualification; and
- a minimum of five years’ experience in office management, secretarial, office coordination or project administration environment.

The SARB has the sole right to make, issue and destroy banknotes and coin in South Africa.
About the Team
Group Security Management Department (GSMD)
The Group Security Management Department comprises of the following three divisions:
- Security Operations
- Security Governance, Risk and Compliance
- Security Auxiliary Services
Function
- To provide a security risk service for the group in terms of personnel security vetting, risk and threat analysis as well as other specialized areas pertaining to information security and countermeasures;
- To provide security execution commensurate with the security risk through the provision of a robust and resilient physical protection system for the SARB Group in compliance with relevant legislation, policies and procedures;
- To develop and implement a security governance framework for the Group;
- To provide a security system including the Firearms Management function and to provide quality driven ETD solutions that meet the security training needs of the Group;
- To monitor implementation and compliance with statutory and regulatory requirements and to provide administrative support and project management for the department; and
- To provide Human Resources services, advice and leadership to the department.
